Records Management System Elements |
Background |
The client was required to have auditable hardcopy documents and records that complied with corporate and regulatory standards. The client's system for managing these documents was difficult to use and slowed both audit preparation and the formal audit process.
|
Diagnosis |
|
Documents and records associated with the existing system were not clearly identified.
Documents and records
were not kept in a central location.
Document and record ID schemes did not reference standard requirements.
The existing system did not have any form of index to quickly identify and locate documents and records. |
Action |
|
Created a centralized records management system based on the requirements identification scheme used by the standard.
Designed folder, subfolder and record labeling schemes that keyed to the standard.
Built an MS Access database to index the documents and records in the system.
Developed a matching digital version of hardcopy system. |
